Implications for Maintaining a Patron-Useful/Directed Collection

Abstract

In a study of the actual and perceived correlation of copyright date and patron borrowing patterns at Lambuth’s Luther L. Gobbel Library, undergraduates did not perceive copyright date as an influence on their book selection. However, circulation records showed a strong correlation between copyright date and borrowing frequency. These findings suggest that, where physical appearance or content currency are responsible, undergraduates prefer to obtain information for academic use from books with recent copyright dates. Student perceptions were gathered through a questionnaire distributed with each borrowed book during the Fall 2001 semester. Characteristics (such as copyright date) of books borrowed during the Fall 2001 semester were obtained from the university’s Voyager electronic library system. The study was repeated during the Spring 2003 semester after courses in cataloging, library management, reference, and research had been taken to determine if bibliographic instruction and upgrades to the library’s catalog would provide different results.


Introduction

            A controversial issue in the library is collection management, which includes maintaining up-to-date materials while protecting the historical integrity of the collection. It is understood that older books are needed when researching the background or history of a discipline and when reading classical literature. Each academic field has a different “classic” age that requires maintenance for protecting the historical integrity of the collection. However, studies show that patrons tend to check out the most recent materials. Out of date and inaccurate materials should be removed on a regular schedule. Current trends can only be studied if the collection is updated continually. Since space is at a premium in most libraries, consideration must be given to how this limited space can be expanded to include both the old and the new.

            A literature search of ProQuest, Infotrac (Gale), ERIC, WorldCat, ArticleFirst, and Dissertation Abstracts databases yielded many studies that concluded that library users are more likely to select current materials when given a choice. Stieg (1942) found that an undergraduate prefers titles that are “closest chronologically to his own generation” (p. 39). Boardman (1994), in a later study, stated that

teachers as well as students believe implicitly that the current date is always better informed, more accurate, more interesting, than anything published last year, last month, two months ago, or yesterday. I often think if my students and teachers had their way, every single item any student looked at on any topic in the library would be dated with today’s date (p. 27).

            The majority of the studies dealt with the effect of book characteristics and likelihood of selection by the patron.  Physical properties including book jacket cover, size of book, or color (Vacek, 1982; Gilmore, 1985; Shore, 1986; Robinson, Larsen, Haupt, & Mohlman, 1997; Rinehart, Gerlach, & Wisell, 1998; Campbell, Swartz & Hendricks, 2000) were found to affect book selection. Older students were more influenced by their peers, by television/movies, and by subject (Samuels, 1989; Kragler & Holley, 1996).

            Three studies dealt specifically with copyright date, and all used perceived data rather than actual comments by the borrowers (Jain, 1968; Kent et al., 1978; Perrault, 1997). In their study of circulation and in-house use of books, Stephen Bulick, William N. Sabor, and Roger Flynn found that only a portion of the collection actually circulates, and there is a direct correlation between the age of the book and the number of times it circulates. The longer the book is in the collection, the fewer times it will circulate (Kent et al., 1978). Additionally, Jain and Perrault found that academic libraries are used most frequently by students (as opposed to faculty and staff). Jain (1968) noted that graduate students use the library three times as much as undergraduates and four times as much as faculty. It must be remembered that the undergraduate library is not a repository for research materials, but its books are intended for use (Connell, 1991). This use is different for each level of user. Hardesty found that

classroom faculty [in purchasing books for the library] have not developed well-defined attitudes regarding the types of materials that are appropriate for the undergraduate library . . . this lack of understanding may result in the selection by academic libraries of huge numbers of titles that go unused (Kuo, 1986, p. 27).

            Other studies dealt with the realization that as students move into more specific fields of study, academic discipline may be a factor in the number of books they check out. While literature and history-related subjects tend to be checked out more (Jenks, 1976), teaching styles, course requirements, and student interests also play a role in library utilization (Lipscomb, 1987). Faculty who do not require their students to use the library for course-related work may find that their students are not motivated to check out books on any subject. Additionally, McGrath (1972) found that faculty and students do not always check out books specifically related to their own disciplines. Therefore, basing collection development solely on the number of students and faculty in a department and the number of books in that related Library of Congress classification may not be an accurate means of measurement. With more and more emphasis by accrediting agencies on cross-disciplinary study, there may be less and less evidence of discipline-related library usage.

            In all related studies using circulation measurement, the results were based on books returned to the library and not on actual information provided by the user (Stieg, 1942; Davidson, 1943; Ettelt, 1978; Hardesty, 1981). Collection size in each study was determined by estimation of number of shelf list cards (McGrath, 1968, 1972; Jenks, 1976; Lipscomb, 1987; Perrault, 1997) rather than actual numbers of books. In the past decade we have acquired the ability to access data through integrated electronic library systems. Since books are barcoded, they may be linked by bibliographic record through the online circulation and control system (OPAC). Printed reports may be generated concerning any aspect of patron or item record for use in collecting fees, determining shelf maintenance, and predicting collection development needs. Hamaker (1992) conducted the only study found that discussed this up-to-date approach to collecting data.

            A study is needed that will query the actual borrowing patrons concerning patron needs for books and that will compare those data with actual materials found in the library. Lambuth University, a coeducational, liberal arts, undergraduate institution, sought answers to these issues in its collection development operations using its new electronic operating system.

 


Method

Subjects

            In both studies, participants included all borrowing patrons of the library at Lambuth University for three weeks during Fall semester 2001 and three weeks during Spring semester 2003. The total possible circulating population included approximately 50 faculty members, 50 staff members, 900 students (undergraduate only), and an undetermined number of guests (alumni, spouses of faculty and staff, local ministers, and students of consortial schools in West Tennessee).

Instrument

            All books were checked out through Endeavor’s Voyager circulation module. A survey was administered to the patron at the time of check out by library staff and student workers. The circulation personnel were told about the survey in advance and instructed on how to administer it to avoid undue delays for the borrowing patron. The patron was asked to give the following information: first eight digits of the call number, purpose for checking out the item, classification, and degree of study. Since the library employed Library of Congress classification, the digits, in most cases, included two letters, one to four numerals, a period, and at least the first letter or number following the period. That provided sufficient information to correlate the checked out book with the Access report list of checked out books or OPAC display. Finally, the patron was asked the following question: “Was copyright date a factor in your decision to borrow this book?” If the answer was positive, the patron was asked for an explanation (see Appendix 1a). The survey form was slightly modified during the second study based on results of the first study, providing the patron with eight small blanks for the eight digits rather than one long line (see Appendix 1b).

Procedure

            Completed surveys were collected at the end of the allotted time for evaluation. The library’s server was queried through Access reports to determine which books were checked out during a specified time by Library of Congress classification. The call numbers were matched to their copyright dates and tied to the status of the patron (faculty, staff, student, guest) (Appendixes 2a and 2b).

            Since some books had not been completely cataloged during the first study, the books associated with the records did not appear as checked out. As a result of this inconsistent information, written partial call numbers from the surveys were checked in the OPAC. Access to the OPAC was accomplished by logging into the university’s intranet web page (http://mylu.lambuth.edu) and selecting “Library Links.” The “Quick Search” took the user to a simple search screen that was queried by call number, the results presented as 50 records per page. Great care was taken to enter only the first eight digits as requested of the patron, even if more information was given. In many cases, this method resulted in having to check several records with similar call numbers in order to retrieve the correct one (Appendix 3). Since all books had been cataloged by the time of the second study, surveys were simply checked against the OPAC report for verification.

            Copyright dates gathered for the books through the electronic system were separated by decade and then compared to the classification of the student borrowing the book to determine the relationship between level of study and age of the book. Resulting information appears in the next section.

            To determine the relationships between selected items and total number of books in the collection, Voyager was queried and the figures tallied (Appendixes 2a and 2b). To determine an approximate total number of uncataloged books in the first study, shelf list cards were measured, with 60 cards equaling one inch. No attempt was made to determine volumes per card since they were so infrequent.


Results

Two main findings resulted from the study: 1) patrons do not perceive copyright date as a factor when checking out a book, and 2) newer books are more frequently selected by borrowers.

Of the 500 items checked out through the Voyager system in the first study, 257 (51%) were also tallied by circulation survey. In the second study, an even lower number of surveys, 97 of 362 (27%) were completed. It is unknown why other surveys were not completed. Student workers were taught how to present the surveys to patrons at checkout. Either surveys were not given to the patrons, or the patrons chose not to fill out the forms. Over one third of the books in the first study were selected by seniors, with little use indicated by freshmen. More consistency was found the second time, with sophomores showing slightly higher frequency of use (Table 1).

It was assumed that copyright date was of value to the students, since one of the major complaints on academic library evaluation forms was lack of current materials. The surveys indicated that borrowers did not perceive copyright to be a factor in checking out books.

Only 10 (4%) stated that it was a factor in the first study, with three others returning the response of “sort of.”  Reasons given by those who were affected by the copyright date were as follows:  “[need] 1995 to present,” “need current research,” “for recent knowledge in the study,” “for a paper needing recent resources,” “I was trying to get more recent info,” “recent information is more useful to my report,” and “I am doing a research paper on the 1960s.” Of those affected, seven (54%) were seniors, two (16%) were juniors, and four (31%) were sophomores, a direct correlation between number of students checking out books in each classification and number affected by copyright. The only student affected by copyright in the second study stated “I wanted to get current information.” This student was a sophomore English major. One other student marked the questionnaire in the negative but included the statement, “appears to have information I need for a paper.” This student was also an English major.

            Books were also analyzed by decade. Only those books which had been completely cataloged in Voyager could be studied the first time. Seventy-three percent of the collection was copyrighted since 1960, with 22% being in the last 20 years. All books had been cataloged by the second study and an extensive weeding project had been completed.  However, the results were almost identical (Table 2).

            In evaluating books checked out during the earlier study, 32 books were copyrighted before 1960 (12%), with 46% of the books checked out being dated in the last 20 years. By Spring 2003, 10 books checked out were copyrighted before 1960 (11%), with 57 (63%) of the books checked out being copyrighted since 1980 (Table 3).

Thus, while students perceived that copyright had no effect on their borrowing patterns, these figures indicate that it was a significant factor in both studies.

            In studying the copyright ranges by classification of student in the first study, it may be noted that freshmen checked out the earlier materials, while juniors and seniors were more likely to check out the more current materials in the collection. In the second study, sophomores checked out the most current materials, and juniors did not check out any books copyrighted after 1999 (Table 4).

            A subproblem was encountered during the study. Based on survey completion, it was determined that library users do not understand Library of Congress call number format. In the first study, only 34 (13%) of the surveys were correctly filled out, though an example was given on the survey and circulation staff were available during the time of its administration.  Success was higher in the second study, with 24 (26%) of the patrons correctly filling out the survey (Table 5).

Discussion

            The study provided an excellent opportunity to scrutinize the collection to determine uses and problems of the present electronic and shelf list cataloging procedures. In order for the study to be conducted as originally designed, all books had to be completely cataloged in the electronic system by barcode number. Errors were found in previously cataloged books and have been corrected because of the findings of the study. Care has been taken to weed the collection on a regular basis to keep the collection historically sound but up to date. Having the books completely cataloged by the second study allowed the circulation staff to keep records related to number of times each book was checked out to determine use. Information was not collected for this study as to internal use of the books versus external use, though tallies are kept of numbers of books left on tables each day. These figures indicate that much more of the collection is used than checkout figures indicate. Studies show, however, that there is a similarity between usage of books in house and those used externally, with the newer books being used the most, so there would be no difference in the overall results (Kent et al., 1978).

            Only one-half of the selected books were tallied on the first surveys, and only a little over one-fourth the second time. Reasons for this low percentage may be 1) borrowers refused to fill out the surveys, 2) borrowers were not asked to fill out surveys by circulation staff, and 3) borrowers filled out one survey per exit rather than one survey per item. Only two incidents of patron dissatisfaction were reported in the first survey, and both patrons filled out the forms even though they expressed impatience in having to do so. No incidents were reported in the second survey.

            It was expected that faculty and upperclassmen would have been the heaviest users of the library because of their advanced studies.  However, faculty were the lowest users of the library. The two faculty members who completed surveys in the first study had to be discounted, because one was a library faculty member and the other was a retired faculty member (technically, a guest). No faculty members filled out surveys in the second study. The report generated by the electronic system showed that there were 17 circulating items checked out by faculty and 17 by staff in the first study and 25 by faculty and 0 by staff in the second study (Appendixes 2a and 2c), but collected surveys do not include these items. The remainder of the books were checked out by students. The greatest numbers of books selected in the first study were in the areas of interior design and education (children’s literature), both areas having large papers due during the timeframe being studied. The second study showed an overwhelming number of education (children’s literature) books checked out. Though we were unable to generate a report showing Library of Congress classification by decade, it is known that this library contains many older books in the areas of architecture, interior design, and children’s literature, retained specifically for their classic appeal and color illustrations. These time-honored classics do not lose their worth over time. Thus, copyright date would not have been a factor in their selection.

            The surveys showed that students perceive no influence by copyright date, though the majority of their selections were taken from the newer materials. Students may have been influenced by book cover, color, and pictures that would have given a fresher appearance, and they may not have recognized that currency was the influencing factor. Some reasons given by students for selecting books were confusing. For example, one student in the first study stated that the book was selected because he/she needed “’60s material.”  However, the book selected was dated 1974. Another student selected a 1970s era book stating that he/she needed recent information. Generally, a thirty-year-old book is not considered “recent.”

            As was expected, borrowers selected books primarily for academic purposes in both studies. College students state that they have little time for recreational reading during the academic year because of the heavy reading assignments related to the classroom. A concern is that, since more people attend college in this generation than in previous generations, this lack of practiced recreational reading in young adults may influence library use in the future. It was encouraging to note that 9 (9%) of the books checked out in the second study were for leisure reading.

            A major problem in the first study was the fact that the entire collection had not been completely cataloged. Reports generated contained discrepancies among themselves. Part of the collection (approximately 20,000 titles) was partially cataloged several years ago. In an effort to allow the books to circulate, the books were accessioned and barcoded, and a shelf list card was typed that included a matching barcode. However, the barcodes were never entered into the electronic system. Because of this cataloging dilemma, the reports only showed approximately 61% of the collection since the other books had not been entered into the electronic system. In trying to alleviate the problem by estimating shelf list cards, a new problem surfaced. Voyager categorizes only by call number; thus, location (Reference, Juvenile, etc.) was of no consequence. Shelf list cards were filed by number and location, creating differences in total numbers.  These problems were eliminated in the second study by having the entire collection electronically cataloged (Table 6).

            Another problem encountered in the first study was the number of errors in filling out the survey. It was assumed that library users understood the term “call number” and would be able to write down the first eight digits. However, only 13% of the surveys were filled out per the instructions. Some students wrote down accession numbers or student IDs instead of call numbers. Even when filled in properly, call number sequences were difficult to read because of varying handwritings (i.e., “5” could be read as “S” and “2” could be read as “Z,” etc.). Extra care was taken to make sure that the correct book was found in the electronic system. It was determined that drawing eight, short, individual lines rather then one long line for completion of the call number might be helpful. Using this rationale in the second survey, a success rate of  85% was achieved.

            At Lambuth University, the six largest departments are business (including accounting, management, economics, and marketing) (133 students in study one/147 students in study two); education (including elementary, exceptional learning, and interdisciplinary) (82/56); biology (including pre-professional biology) (76/48); psychology (61/49); communications (46/44); and physical education (38/64). Of those, all but psychology were represented in the first study, and all but business were represented in the second study. These figures indicate that, while there is a correlation between number of students in a department and percentage of students using the library, there is no correlation between number of books related to a discipline and number of students enrolled in that discipline.

            In conclusion, this study found that students were influenced by copyright date (though they may not be aware of it) and students of an undergraduate institution are more likely library users than are faculty. This study was one of only a few that has attempted to determine usage of books through electronic circulation data. Completion of the retrospective cataloging project greatly improved the collection of data in the second study. Cataloging problems were corrected, thousands of items were added to the electronic system, and presentation of survey instruments was better understood. A weeding project was completed during the interim, bringing the collection more up to date and adding current materials to replace the outdated materials, resulting in over twice as many current books being checked out in the second survey. Continued training on the part of the staff and continued interest in the needs of the patrons will increase the service provided and result in better satisfaction on the part of the patron.
